The agreement

These terms govern use of PDRHailHQ by a shop and by the people that shop authorises. Creating an account accepts them on behalf of the shop.

The person who creates an organization is its owner and is responsible for who they invite into it.

Your data is yours

A shop retains all rights to the records it creates: repair orders, estimates, pricing, photographs, customer details and payroll.

We claim no ownership of that content and do not use it to train models, sell to third parties, or share between shops.

We store and process it only to provide the service.

Your responsibilities

Keeping account credentials secure, and removing access promptly when someone leaves.

The accuracy of what is entered. The software calculates from the prices, bands and rates a shop configures — it does not decide what work is worth or whether an estimate is correct.

Complying with the law where you operate, including any licensing, disclosure or record-keeping obligations that apply to estimates and repair authorizations.

Having a lawful basis for the customer information you enter, and honouring your own obligations to those customers.

What the software does not do

PDRHailHQ is a tool for producing estimates and running a shop. It does not provide legal, insurance, accounting or tax advice.

Default wording — including warranty text and authorization terms — is a starting point supplied for convenience. Review it before relying on it commercially; it is your document once you send it.

We do not guarantee that any carrier will accept an estimate, or accept it at the amount written.

Availability

We aim to keep the service available continuously and to give notice of planned maintenance where practical.

The service depends on third-party infrastructure and, at present, on an internet connection. We do not warrant uninterrupted or error-free operation.

Fees

Subscription fees are charged in advance for the billing period selected. Fees exclude any taxes that apply where you operate.

A subscription can be cancelled at any time and will run to the end of the paid period. We do not charge an export fee, and cancelling does not lock your data.

We will give reasonable notice before changing the price of an existing subscription.

Suspension and termination

We may suspend an account for non-payment, or for use that endangers the service or other shops — for example attempts to reach another organization's data.

A shop may terminate at any time. Following termination we retain data for a reasonable period so the shop can export it, and delete it on request thereafter.

Liability

To the extent permitted by law, our aggregate liability is limited to the fees paid in the twelve months preceding the claim.

We are not liable for indirect or consequential loss, including lost profit or lost business, arising from use of the service.

Nothing here limits liability that cannot lawfully be limited.

Changes

If these terms change materially we will notify account owners rather than silently updating this page. Continued use after notice accepts the revised terms.
